How do I turn on Ping when a team opens?
It is already on. When a seat opens, the bot tells the people waiting for one — and keeps reminding them while it stays open. Turn it off if you would rather announce open teams quietly and recruit yourself.
Where to find it
- Open your dashboard and click Teams in the sidebar. On your phone, tap More, then Teams.
- Open the Team Assignments tab. On your phone, pick Team Assignments from the Choose a section dropdown.
- Scroll down to Who Is Waiting for a Team. The Open-Team Pings card sits just under the Team Waitlist card. The switch is labelled Ping when a team opens and has its own Save button.
What it does
When a team becomes available, the announcement mentions the people waiting for one — and keeps reminding them while the seat stays open. Turn it off and open teams are still announced, but nobody is mentioned and the reminders stop.
The card's header shows On or Off so you can see where it stands at a glance.
Who actually gets pinged
The bot works down this list and stops at the first one that applies:
- People on the waitlist. If anybody is queued, they get mentioned by name. Nobody else is bothered.
- The role you picked, if the queue is empty. See Role to ping instead of everyone.
- @everyone, if the queue is empty and you have not picked a role.
That order is the whole point: a full queue means the message goes to four people instead of four hundred.
If the master Let members join the waitlist switch is off, the queue is skipped entirely — the announcement goes straight to your picked role, or @everyone.
Step by step
- Leave Ping when a team opens on and press Save.
- Pick a Role to ping instead of everyone — this is the one worth doing. Without it, an open seat with an empty queue pings the entire server.
- Set Remind the waitlist every (hours) if every 4 hours is too often or not often enough.
Common problems
- It pinged @everyone and people complained. The queue was empty and no role was picked, so it fell all the way through. Pick a role and it will never do that again.
- Nobody got pinged when a team opened. This switch is off. Check the Open-Team Pings card header — it says On or Off.
- It pinged twice in a row. Two seats opened. Each open team is announced on its own.
- The reminders feel relentless. Raise Remind the waitlist every (hours) on the same card. The default is every 4 hours for as long as the seat sits empty.
- I turned it off but open teams still get announced. That is how it works: this switch only controls who gets mentioned. Announcements always post; with the switch off they just do not ping anyone.
