How do I set up Role to ping instead of everyone?
Pick a role here and an open team pings just that group instead of the whole server. This is the single best five-second change on the page — leave it empty and an open seat with an empty queue pings @everyone.
Where to find it
- Open your dashboard and click Teams in the sidebar. On your phone, tap More, then Teams.
- Open the Team Assignments tab. On your phone, pick Team Assignments from the Choose a section dropdown.
- Scroll down to Who Is Waiting for a Team. The dropdown is labelled Role to ping instead of everyone, on the Open-Team Pings card just under the Team Waitlist card. It shows — @everyone — while nothing is picked, and has its own Save button.
What it does
Decides who gets pinged when a team opens and nobody is on the waitlist. Leave it empty and that ping goes to @everyone. It is ignored entirely while Ping when a team opens is off.
This role is only reached when the waitlist queue is empty. If people are queued, they are pinged by name and this role is skipped — which is exactly right, because they already told you they want a seat.
One thing to know before you pick: the repeating reminders about a seat that stays open never go to @everyone — with an empty queue and no role picked, there is no reminder at all. Pick a role and that role starts getting those reminders too, on the schedule set by Remind the waitlist every (hours). That is usually what you want — it is what keeps an open seat from being forgotten.
Which role to pick
- Your Waitlist Role — the usual answer. These are the people who already said they want in. (That role is set on the Front Office page, under Special Roles.)
- A "free agent" or "looking for a team" role — good if you hand one out at the door.
- Not your league member role. That is everybody, so you have reinvented @everyone with extra steps.
Common problems
- It still pinged @everyone. The role did not save, or Ping when a team opens is off. Reopen the page and check the dropdown is showing your role rather than — @everyone —.
- The role is in the list but nobody was notified. Discord will not notify a role the bot is not allowed to mention. The bot fixes this itself where it can; if it cannot, the role's "Allow anyone to @mention this role" setting in Discord is the thing to check.
- The role I want isn't in the dropdown. The list comes from your server. If you just made the role, refresh the page.
- I picked a role but people on the waitlist still got the ping. Working as intended — the queue always wins. This role is the fallback for an empty queue.
